AI without the jargon

AI at work, in 4 steps

No tech background needed. An AI agent is a simple chain: your data comes in, the AI understands it, code checks it, you decide. Follow the packet.

agent · supplier invoice Fictional example
  1. 01 Input

    Your data comes in

An email, a PDF, a form, a phone call: the agent starts from what already reaches you. No new habits needed.

ChatGPT vs a NotHuman agent

Two useful tools, two different jobs.

ChatGPT

Used as a chat

  1. You ask a question.
  2. It answers.
  3. You copy and paste.

You Summarise this email and suggest a reply.

ChatGPT Here’s a three-point summary and a suggested reply…

Copy, then paste into your email

Great for thinking, writing and exploring ideas.

NotHuman agent

Digital colleague

  1. It does the job end to end.
  2. Inside your tools.
  3. With your rules and your approval.

Agent log · fictional example

  1. Invoice received by email
  2. Read: CHF 1,340.44, due 29.11
  3. VAT, total and IBAN checked
  4. Ready: waiting for your go-ahead

Great for tasks that come back every day.

ChatGPT has an agent mode too; the difference here: your rules, code that re-checks every figure, your approval and the hosting you choose. Not one against the other: an agent can run on GPT, the model behind ChatGPT, on Claude, Gemini or Mistral, or on Apertus, the open Swiss language model built by EPFL, ETH Zurich and CSCS, hosted in Switzerland or on your own servers for sensitive data. You decide where your data is processed.

Inbox

Select an email, or run the agent.

Try it with your own email

Paste an email (French, German, English or Italian). It is analysed with simple rules, in your browser.

Everything runs in your browser: nothing is sent or stored. Simplified demo: answers are prepared in advance or computed by simple rules in your browser. In production, a language model suited to your data does this work, and someone on your team signs off.

I want this for my business

    What’s happening, step by step

    1. Emails arrive Input

The agent watches your inbox, like a colleague opening the post the moment it lands.

    2. The AI understands AI

A language model reads the message in its own language and recognises what it is: an invoice, something urgent, a new client…

    3. It pulls out what matters AI

Deadline, amount, file number, attachments: everything important is picked out and summed up in one line.

    4. To the right person Code

Rules agreed with you send each request to the right person. No AI here: clear rules.

    5. A draft is ready AI

For routine requests, the agent writes a reply in the client’s language, based on your templates.

    6. You approve Human

Nothing goes out without your say-so: you read, adjust if needed, and send.

Run the demo: each step lights up here.

    Language model
The “brain” that reads and writes text: GPT, Claude, Gemini, Mistral, Apertus…
    AI agent
A program that uses a language model to complete a multi-step task, with your tools.
    Human approval
The moment a person reads and decides. At NotHuman, it’s the default.

    Why it’s safe

    • Nothing goes out without your say-so: the agent prepares drafts, someone on your team approves them.
    • Who gets what follows rules agreed with you, written in code: the AI does not decide.
    • When in doubt (an answer in the wrong format, low confidence), the email goes to a person.
    • You choose where the AI runs and where your data is processed.

    The agent’s pipeline

    1. Input Mailbox Microsoft 365 (Graph API), Gmail or IMAP. A new email triggers the pipeline.
    2. Code Pre-processing Clean-up, language detection, masking of sensitive data where needed.
    3. AI Classification and extraction The model returns schema-validated JSON: category, priority, fields, summary.
    4. Code Routing rules Your business rules: who gets what, urgency thresholds, office hours.
    5. AI Drafting A draft in the sender’s language, from your templates and knowledge base.
    6. Human Approval Draft placed in Outlook or Gmail, or in an approval queue.

AI reads and writes. Code checks. Humans decide.

    • Structured output: if the model’s answer doesn’t match the schema, the email goes to a person.
    • Hidden instructions (prompt injection): the agent can label and draft, never send on its own.
    • Confidence threshold: below 0.8, the message is flagged for a person.
    • Full audit log: every decision is recorded and searchable.

    Extracted data AI

Run the agent to read this document.

    Checks done by code Code

    • Code will redo every calculation, no AI involved.
Try it with your own text

Paste the text of an invoice or another document. Amounts, dates, IBANs, QR references, VAT rates and company numbers are found and checked in your browser.

Everything runs in your browser: nothing is sent or stored. Simplified demo: answers are prepared in advance or computed by simple rules in your browser. In production, a language model suited to your data does this work, and someone on your team signs off.

I want this for my business

    What’s happening, step by step

    1. The document arrives Input

A PDF invoice by email, a scan, a photo or a bank statement: the agent picks it up wherever it lands, like a colleague opening the post.

    2. The AI reads the page AI

It reads the text and understands the layout: where the supplier, the lines, the total and the payment part are.

    3. It pulls out the fields AI

Supplier, number, dates, amounts, IBAN, QR reference: each value goes into its own box, ready to be checked.

    4. Code checks every figure Code

No AI here: plain code redoes the maths (IBAN checksum, QR reference, VAT at 8.1%, totals). If an amount was misread, the sums don’t add up and the document is blocked.

    5. A proposal is ready Output

An accounting entry, a bank reconciliation or a list of missing documents with the reminder drafted: the work is prepared, not yet carried out.

    6. You approve Human

Nothing is imported or sent without your go-ahead: you check at a glance, correct if needed and approve.

example 9 checks done by code, not AI, on the demo invoice
example 5 min → 20 s to key in and check a supplier invoice

    Words to know

    Multimodal model
An AI model that also reads images: PDFs, scans, photos. It understands the layout, not just the words.
    QR-bill
The Swiss invoice with a payment part and a QR code, which replaced the old payment slips. It carries the IBAN, the amount and a reference that can be checked.
    Checksum
A digit calculated from the others. If a single digit of an IBAN is wrong, the sum no longer works out, so the error is caught.

    Why it’s safe

    • Code recomputes amounts, VAT, IBAN and QR reference: no figure is guessed by the AI.
    • A single failed check blocks the document until a person looks at it.
    • The agent prepares entries and reminders: it pays nothing and sends nothing without your approval.
    • You choose where the AI runs and where your data is processed.

    The agent’s pipeline

    1. Input Intake A dedicated email address, shared folder, scanner or upload. Each new file starts the pipeline.
    2. AI Reading and extraction A multimodal model, or OCR then a language model. Schema-validated JSON: fields, lines, amounts.
    3. Code Checks IBAN (mod 97), QR-IBAN, QR reference (mod 10), VAT at 8.1% recomputed, totals, due date, duplicates.
    4. Code Business rules Your chart of accounts: supplier → expense account, VAT code, matching by QR reference.
    5. Human Approval An approval queue: anomalies come first, you correct or approve.
    6. Output Export Clean data, ready to import into your accounting software: file, API or email.

Everything runs in your browser: nothing is sent or stored. Simplified demo: the figures are calculated in your browser from fictional data, and the summary is a template filled in with those figures. In production, a language model writes from the calculations, and someone on your team signs off.

I want this for my business

      What’s happening, step by step

      1. The figures come in Input

The agent reads your exports (Excel, CSV) or your software’s API: accounting, CRM, online shop, advertising.

      2. Code calculates Code

Revenue, margin, change on last month: fixed formulas, like a spreadsheet. No AI here.

      3. Gaps stand out Code

Thresholds agreed with you flag anything unusual: receivables up, margin down, stock running low.

      4. The AI writes the summary AI

A language model receives the calculated results and explains them in plain words, in the reader’s language. It explains; it doesn’t calculate.

      5. The report takes shape Output

Key figures, charts and points to watch: a document you can read in two minutes, online or as a PDF.

      6. You approve Human

You read it, correct it if needed, and the report goes to management, the client or the board.

        What’s happening, step by step

        1. You ask a question Input

In your own words, as you would ask a colleague. The assistant picks out the keywords and their synonyms: “vacation” means “holiday”.

        2. Search through your documents Code

A search engine scans every passage of your documents in a few milliseconds, like the index of a giant book.

        3. The best passages Code

Each passage gets a relevance score. Only those above the threshold are kept; otherwise, there’s no answer.

        4. A grounded answer AI

The AI writes a clear answer only from the passages kept. Nothing reliable enough? It writes nothing.

        5. The source is cited Output

Every answer names the document and the section. One click shows you the exact passage, highlighted.

        6. Otherwise, HR takes over Human

No reliable source? The assistant says “I don’t know” and offers to pass the question on to HR.

        RAG
Short for “retrieval-augmented generation”: the AI first finds the right passages in your documents, then writes its answer from them alone.
        Index
Your documents split into passages and organised so they can be found in milliseconds. It updates when a document changes.
        Hallucination
When an AI makes up an answer that sounds right but is wrong. Here, no reliable source means no answer: the assistant says so.

        Why it’s safe

        • It answers only from your documents and always cites the exact passage.
        • No reliable source, no answer: it says “I don’t know” instead of making something up.
        • It sends nothing on its own: passing a question on to HR takes your click.
        • People only find the documents they are allowed to read, and you choose where the AI runs.

        The agent’s pipeline

        1. Input Your documents PDF, Word, Excel or intranet pages, from Microsoft 365, Google Workspace or a shared folder.
        2. Code Chunking and index One passage per section, with document, version and date. Keyword (BM25) and vector (embeddings) index.
        3. Code Hybrid search Keywords and meaning, filtered by the access rights of the person asking.
        4. Code Ranking and threshold The best passages are re-ranked. Below the relevance threshold, the model isn’t called.
        5. AI Grounded answer The model only receives the passages kept and must cite its sources.
        6. Human HR hand-off With no reliable answer, the question goes to HR. Their reply can be added to the documents.

Code fills in the first name, the course, the date… and adds the sender and the unsubscribe link. The AI never sees a contact.

                4. Everything is scheduled Tool

Your email tool schedules the sends on day 0, 3 and 7, and stops the sequence as soon as someone replies or unsubscribes.

                5. The rules are checked Code

Consent, sender, unsubscribe, SMS length, banned phrases: everything is checked, and fixed where needed.

Nothing goes out without your say-so. After that, the campaign runs on its own and you get the results.

                Segment
A group of contacts picked by a rule: no course in 12 months, course ended this week…
                Consent
A person’s agreement to receive your advertising. In Switzerland it is required for mass advertising by email or SMS, with a narrow exception for existing clients.
                A/B test
Two email subject lines, each sent to half the recipients, to measure which one gets more clicks.
                Merge field
A placeholder such as {{first_name}} that code replaces with each contact’s data.

                Why it’s safe

                • Nothing goes out without your OK: a person approves the campaign before the first send.
                • Consent, unsubscribe and sender are checked by code before every send.
                • Contacts without consent are excluded automatically.
                • You choose where the AI and your data run.

                • Minimal data: the model writes templates with fields; contact data is merged in by code.
                • Mandatory footer: full sender details and an unsubscribe link in every email, “STOP” in every SMS.
                • Wording rules: artificial urgency and unverifiable superlatives are flagged and fixed before approval.
                • Human approval: no campaign starts without a person’s go-ahead, and you can stop it at any time.

I want this for my business

                  What’s happening, step by step

                  1. The site is crawled Code

Like Google’s crawler, a program follows every link and maps your pages: the ones that work and the ones that are broken.

                  2. The technical side is checked Code

A keyword tool shows what your customers actually type, grouped by intent: learn, compare, find nearby, get in touch.

The same questions go to several AI assistants. An AI notes whether your business is cited, and which pages are.

I want this for my business

                  What’s happening, step by step

                  1. You give a brief Input

A few lines are enough: the topic, the dates, the offer. Just as you’d explain it to a colleague.

                  2. Your rules are loaded Code

Formal address, glossary, ‘ss’ instead of ‘ß’: your brand rules are written down. The agent gets them before it writes a single line.

                  3. The AI writes each version AI

A language model writes one version per channel and language: short for Google, with hashtags for Instagram, with a subject line for the newsletter. Adapted, not translated word for word.

                  4. Code checks Code

Each channel’s length limit, ‘ß’ replaced by ‘ss’, informal address, banned words: every text goes through fixed checks. No AI here: rules.

                  5. The week’s plan Tool

Each post gets a slot from Monday to Friday, following the rhythm agreed with you.

                  6. You approve Human

You read, adjust if needed, then approve. Nothing is published without your say-so.

Run the demo: each step lights up here.

                  Words to know

                  Brief
The few lines that say what to announce: the topic, the dates, the offer. It’s all the agent needs.
                  Style guide
Your writing rules: tone, formal or informal address, words to use or avoid. The agent follows them, and code checks they’re respected.
                  Adaptation
Rewriting a message for another language and other readers, instead of translating it word for word: ‘9 h’ in French, ‘9 Uhr’ in German, ‘9 am’ in English.

                  Why it’s safe

                  • Nothing is published without your approval: the agent prepares drafts and a plan, you decide.
                  • Your brand rules are checked by code, not by the AI: lengths, ‘ss’, formal address, banned words.
                  • Dates, prices and times come from your brief: a figure found nowhere in it is flagged to a person.
                  • You choose where the AI runs: a confidential brief can stay on a server in Switzerland.

                  The agent’s pipeline

                  1. Input Brief A form, an email or a row in a shared sheet (Microsoft 365 or Google Workspace). A new brief starts the pipeline.
                  2. Code Style guide and glossary Versioned brand rules: tone, formal address, required and banned terms, character limits per channel.
                  3. AI Multichannel drafting The model gets the brief, the style guide and a few of your past posts as examples. It returns schema-validated JSON: one entry per channel and language.
                  4. Code Checks Lengths, ‘ß’ → ‘ss’, informal address, banned words, glossary terms. A text that fails is rewritten or flagged to a person.
                  5. Tool Scheduling One slot per post, following your rhythm. Drafts go to your publishing and email tools through their API or an export.
                  6. Human Approval You, or your client if you’re an agency, approve each post in an approval queue.

AI reads and writes. Code checks. Humans decide.

                  • Structured output: each version must match the schema (channel, language, text). If not, it’s rewritten or sent to a person.
                  • Checks in code: lengths, ‘ß’, informal address and banned words are checked by rules, not by the AI.
                  • Verifiable facts: dates, prices and times come from the brief or your company fact sheet. A figure found in neither is flagged to a person.
                  • Nothing goes out on its own: the agent prepares drafts, and a person approves every post.

                  How we set it up

                  1. Day 1 Free audit 30 minutes to look at your channels, your languages, how often you post and who approves what.
                  2. Weeks 1–2 Test on your content We write your style guide and glossary from your existing posts, then test the agent on real briefs.
                  3. Weeks 2–4 Go-live We aim for a first automation in service 2 to 4 weeks after the audit, with your channels and your approval rules.
                  4. Every month Care Monitoring, style-guide updates and a monthly report.

                  What we need from you

                  • About ten posts you’re happy with, in each language
                  • Your rules: tone, formal address, words to avoid, terms to always translate the same way
                  • Who approves what, and which channels you post on

                    What’s happening, step by step

                    1. The AI writes the script AI

From your brief, a language model writes a short text, split into scenes, in your brand’s tone of voice.

                    2. It builds the storyboard AI

Each scene gets a visual (your logo, your photos, licensed footage) and a duration.

                    3. The voice-over is generated AI

A synthetic voice reads the script in the language you chose. Your own voice is possible, only with your consent.

                    4. Code times the subtitles Code

No AI here: code splits the text, syncs it with the voice and checks readability (line length, reading speed).

I want this for my business

                      What’s happening, step by step

                      1. A visitor asks a question Input

On your website, at 10 pm or on a Sunday, in their own language. No hunting for the right page, no form to fill in.

                      2. The AI understands AI

It recognises the language and what the person wants (a price, opening hours, an appointment) and picks out the useful details.

                      3. It answers, with its source AI

The answer comes from your approved content (pages, prices, FAQ) and names the page. If it can’t find it, it says so.

                      4. It qualifies the request AI

Like a good adviser, it asks two or three questions: the need, the timing, how to get back in touch.

                      5. Appointment and CRM Tool

It offers free slots from your calendar and creates the lead in your CRM, with a summary.

                      6. Your team takes over Human

You confirm the booking, or take over the chat when the visitor asks or the topic is sensitive.

Run the demo: each step lights up here.

                      AI chatbot
An assistant that chats in writing on your website using a language model, and can act: book, create a lead, hand over.
                      Knowledge base
Your approved content (pages, prices, FAQ, terms). The assistant looks for answers there, not on the internet.
                      RAG
Retrieval-augmented generation: the AI first finds the right passage in your content, then writes its answer from that passage.
                      Lead
An interested person, with their need and contact details, ready to be followed up.

                      Why it’s safe

                      • The assistant answers only from pages you have approved, and cites its source.
                      • It says it is an AI assistant and hands over to a person when it doesn’t know.
                      • Bookings and new leads follow your rules, in code.
                      • You choose where the AI and your data run.

                      The agent’s pipeline

                      1. Input Chat widget A few lines of code on your website. Context: the page being viewed and the browser language, with no ad cookies.
                      2. AI Understanding Language, intent and useful details (need, timing, contact) extracted as schema-validated JSON.
                      3. Code Search Hybrid search (keywords + vectors) over your approved content. Below the relevance threshold: no answer, handover offered.
                      4. AI Sourced answer Written in the visitor’s language, only from the passages found, with a link to the source page.
                      5. Tool Calendar and CRM Limited, logged tools: free slots, lead creation through the CRM’s API, confirmation draft.
                      6. Human Team Handover with a summary by email, Teams or Slack. The team confirms bookings and takes over sensitive cases.

AI reads and writes. Code checks. Humans decide.

                      • Transparency: the assistant introduces itself as an AI in its first message, and confirms it whenever asked.
                      • Sourced answers: it relies only on your approved content; below the relevance threshold, it says it doesn’t know and offers a person.
                      • Sensitive topics (health, disputes, complaints): no advice, handover to your team.
                      • Hidden instructions (prompt injection): the assistant can only use the tools it is allowed (slots, lead), never your email or client files.
                      • Minimal data: no advertising profile, no newsletter sign-up without consent, conversations deleted after the period you set.

What these demos are, and are not

They call no live language model: answers are prepared in advance or computed by simple rules in your browser. Nothing you type leaves your computer.

In production, we connect the model suited to your task and data (a leading model, or an open-source model such as Apertus hosted in Switzerland) to your tools, with your approval rules. The companies, people and documents in these demos are fictional.
